Compensation and Benefits
- Hours: M‑F Days
- Salary: $55,000 – $65,000 yearly
- Benefits: Available after 60 days for full‑time employees
Summary of Position
The Accounting and Finance Administrator role provides support to the Accounting and Finance leadership (CFO, VP of Finance, Controller), as well as the Owner/President when needed. The administrator maintains the training program for the department, ensures all employees are kept current on their training, and handles onboarding of new hires. The role also ensures all Accounting Monthly Checklist items are completed, maintains the current tax record, logs and responds to tax notices, and manages the Betton account, confirming monthly billings and commission payments.
Essential Duties and Responsibilities
- Log and distribute all Accounting mail daily, following up on all necessary tax documents with the AnswerNet tax team
- Assist with monthly medical reconciliations for all medical vendors
- Assist with monthly AMEX reconciliations for all AMEX items, in conjunction with the Junior Staff Accountant
- Maintain current tax tracker, tracking all local, state, and federal taxes across all companies
- Process GST‑HST filings and initiate payments for all Canadian entities (monthly, quarterly, and annually)
- Create and send out a monthly checklist for the Accounting Department, and follow up to ensure that all tasks have been marked complete by team members
- Assist with hiring of Accounting staff
- Work on new training guides and manuals for the Accounting and Finance Learning Management System (LMS)
- Assist Accounting VIP staff with any necessary projects
- Assist Owner/President with any necessary projects
- Keep track of minutes, agenda, and documents sent to Owner/President for the weekly Cash Pipeline meeting
- Update the organizational chart for the Accounting department when there is any major change
- Communicate with the AnswerNet LMS team on a regular basis to make sure that training is being updated accordingly
- Send out the Trial Balance Summary and ensure that the Account Analysis report is completed for each account by the designated employee by the due date
Minimum Qualifications (Knowledge, Skills, and Abilities)
- Proficient in Microsoft Suite (Word, Excel, PowerPoint)
- Proficient in Google Suite (Gmail, Google Calendar, Google Meet, Google Sheets)
- Excellent written and verbal communication skills
- Strong organizational skills
- Strong interpersonal skills
Education and Experience
- Preferably at least one year in administration work
- High School diploma
