The AP Specialist / Senior AP Analyst serves as the primary point of ownership for complex issue resolution and process improvement within the Accounts Payable function. This role focuses on resolving high-impact invoice issues, improving workflow efficiency, and ensuring consistent adherence to process and control standards. Operating above transactional invoice processing, this position partners closely with Procurement, Operations, and Finance to identify root causes of recurring issues, standardize solutions, and maintain invoice and payment integrity. The ideal candidate is analytical, detail-oriented, and capable of driving resolution across cross-functional stakeholders.

Job Requirements

• Skills: NetSuite or comparable ERP experience required. Strong problem-solving and root cause analysis capabilities.
• Experience: 3+ years in Accounts Payable, invoice processing, or accounting operations
• Education: Associate’s or Bachelor’s degree in Accounting or Finance preferred

Job Responsibilities

• Invoice Intake & Processing
  • Review incoming invoices within two business days to determine processing or escalation path.
  • Enter invoices into NetSuite and submit for approval.
  • Accurately code invoices to GL and applicable dimensions (department, class, location, etc.), maintain clear, audit-ready documentation within ERP.
• Exception Resolution & Cross-Functional Escalation
  • Resolve invoice discrepancies including PO mismatches, missing approvals, duplicate invoices, and workflow issues.
  • Ensure escalated issues are actively managed and resolved within defined timeframes.
  • Drive timely resolution of rejected invoices.
• Vendor Communication & Resolution
  • Serve as the primary contact for vendor inquiries regarding invoice status, discrepancies, and approval/payment timing.
  • Respond to vendor inquiries within two business days.
  • Support vendor statement review.
