Your Role

As our Business System Specialist, you'll be the backbone connecting our business processes with technology. You'll ensure that Salesforce supports Fastned's rapid expansion, while enabling our teams to work efficiently. This is a hands‑on, impactful role in an informal, international scale‑up environment with an inclusive, people‑centric culture. You'll wear multiple hats as both a system administrator and business analyst, maintaining and improving our key business systems while collaborating closely with teams across the organisation. This role is part of our ‘Centre of Organisational Excellence’ team, with team members being based in our brand new London Shoreditch office, our Madrid office, as well as our Amsterdam headquarters. Your broad range of responsibilities includes:

System Administration & Configuration

  • Manage users, roles, permissions, and security settings in Salesforce/Sitetracker and ServiceNow.
  • Configure objects, fields, views, reports, dashboards, and automation (flows, rules).
  • Support releases, testing, and change management with clear documentation and user communication.

Business Analysis & Process Improvement

  • Work with stakeholders (Architecture, Construction Management, Operations) to understand their needs and objectives.
  • Analyse business processes and workflows to identify opportunities for system improvement and automation.
  • Translate business requirements into clear system configurations or user stories for development teams.

Stakeholder Collaboration

  • Facilitate workshops, training sessions, requirement workshops, and demos with internal and external stakeholders.
  • Support power users and process owners in refining their requirements and adopting best practices.
  • Bridge communication between business users, IT teams, vendors, and consultants.

System Oversight & Documentation

  • Maintain a clear overview of the system landscape (Salesforce (Sitetracker), ServiceNow, Oracle NetSuite, and other tools).
  • Monitor system usage and incidents, analyse root causes, and contribute to preventive improvements.
  • Create and maintain structured technical and end‑user documentation, SOPs, and how‑to guides.
  • Keep knowledge bases current to support smooth onboarding and knowledge sharing.

Who we’re looking for

You bring along an analytical mindset, knowing how to efficiently break down complex business problems and identifying concrete system improvements. You enjoy investigating issues, testing creative solutions, and proposing pragmatic fixes. Structuring work comes easy to you, tracking progress, and managing timelines for both smaller initiatives and continuous‑improvement backlogs will be part of your day to day. You're comfortable working with multiple teams and stakeholders across all levels of the organisation (that being said, we’re pretty flat when it comes to hierarchy). Additionally, you tick the following boxes:

  • 2‑5 years relevant experience in similar roles (IT business consultant, Salesforce administrator, business analyst, or application specialist).
  • Solid experience or clear affinity with Salesforce (administration, configuration, or advanced user level).
  • Strong business acumen—you understand organisational goals, processes, and strategies in commercial, customer, and operational domains.
  • Basic understanding of IT concepts (integrations, data, APIs, environments) and ability to assess solution feasibility.
