Position Overview

The Project Coordinator will play a crucial role in supporting the Project Managers by managing the administrative and coordination tasks associated with multiple construction projects. This role requires a proactive individual who can handle project documentation, manage schedules, and assist with project‑related communications. The ideal candidate will be highly organized, possess strong communication skills, and have experience with construction project management processes.
Key Responsibilities
- Assist in preparing, reviewing, and managing Request for Change Orders (RFCO) and Change Orders to ensure all changes are documented, tracked, and approved in a timely manner.
- Create and maintain cover sheets for project documents and submittals.
- Coordinate and manage the preparation and submission of Requests for Proposals (RFPs) and Requests for Information (RFIs).
- Support the two Project Managers (PMs) by organizing and scheduling meetings, preparing agendas, and taking meeting minutes.
- Assist with the development and maintenance of project schedules using MS Project, ensuring all project milestones and deadlines are met.
- Coordinate with subcontractors, vendors, and internal teams to ensure timely submission of project deliverables and compliance with project requirements.
- Maintain project files and documentation, ensuring all records are accurate and up-to-date.
- Assist with tracking and reporting project costs, budgets, and schedules.
- Provide administrative support, including drafting correspondence, preparing reports, and managing project communications.
- Perform other duties as assigned by the Project Managers to support the successful completion of projects.
Requirements
What We'd Like to See:
- A bachelorâs degree in Construction Management, Business Administration, or a related field is preferred.
- A minimum of 2-3 years of experience in a similar role within the construction industry.
- Familiarity with construction project management processes, including RFCO, Change Orders, RFPs, and RFIs.
- Proficiency in MS Project and other Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work independently and collaboratively in a fast‑paced environment.
- Strong problem‑solving skills and the ability to manage multiple tasks simultaneously.
