Job Summary

The Assistant Project Manager (APM) assists the Senior Project Manager and/or Project Manager in all project phases, coordinating design and construction activities while serving as a key liaison among stakeholders. They oversee Field Engineers, emphasizing document control, subcontractor coordination, design team communication, and project reporting. The APM facilitates seamless information flow between the field, office, senior management, and clients to maintain project timelines. With keen attention to detail, they ensure all documentation is accurate and delivered promptly.

Duties & Responsibilities

  • Serve as a point of contact for Owners, OPMs, and Design Team members, as directed by manager
  • Coordinate and provide input in weekly meetings with subcontractors, design teams, and owner representatives to resolve field conflicts
  • Assist in developing estimates and bid proposals for lump sum and GMP projects
  • Oversee Field Engineer/s responsibilities, including document control, RFIs, submittals, material tracking, and meeting minutes
  • Mentor and train supporting team members, including Field Engineers
  • Maintain relationships with subcontractors, ensuring timely submittals and material deliveries
  • Monitor subcontracts and insurance compliance before work begins
  • Assist the Superintendent and team in resolving critical issues, RFIs, and other project challenges while focusing on quality, cost, and schedule; update and distribute the project master schedule
  • Lead the closeout process, including documentation (as-builts, O&Ms, warranties, test reports) and financial closeout with subcontractors and the Owner
  • Manage the punch list through Procore/Autodesk, track completion, and ensure accurate documentation
  • Conduct field walks, review field reports, and coordinate issue resolution
  • Perform regular safety walks with field and safety staff, documenting observations
  • Collaborate with the PM and Superintendent on the site utilization plan and project scheduling
  • Implement procedures for submittals, shop drawings, and other project documentation
  • Maintain project files, including subcontractors, suppliers, bid packages, plans, specifications, changes, and as-builts
  • Assist in subcontractor proposals, requisition review, and payment tracking
  • Evaluate subcontractor requisitions based on actual work completed
  • Prepare company estimates, proposals, and subcontractor change orders
  • Communicate schedule revisions and cost control updates to all stakeholders, including HESS management
  • Support coordination of site and office activities and project information systems management

Job Qualifications

  • Bachelor’s or master’s degree in engineering, construction management, a related field
  • 3+ years of construction experience as a field engineer, in project management or other related role; preferably with a general contractor on large-scale projects, in excess of $20M
  • Exhibit leadership based on experience and sound judgment to plan, execute and complete projects successfully from start to finish
  • Strong acumen for developing and negotiating relationships with owners and trade contractors
  • Effective communication, problem-solving, and multitasking abilities, with a proactive, detail-oriented, and adaptable approach to managing change processes and collaborating effectively
  • Align with HESS values/standards of practice
  • Proficient with Construction/Contract Management Software and tools including Autodesk, Bluebeam, Procore, etc.

CERTIFICATIONS*

Preferred:

  • OSHA 30
  • CPR & First Aid Certification

Optional but Preferred:

  • Erosion & Sediment Control (MD/VA)
  • FAA Drone Pilot
  • LEED AP BD+C (Building design + Construction)
  • LEED Green Associate
  • Project Management Professional
