About the role
Role Overview
The Coordinator, Construction is responsible for directing, organizing and controlling project activities, under the direction of the Construction Manager (CM), to ensure the predefined project objectives in terms of scope, time, quality and cost are achieved and that contractual obligations are met at all times within the multi‑residential portfolios.
Responsibilities
- Project Scheduling & Communication – Attend client meetings and assist with the creation of project proposals, RFPs and schedules; liaise with property operations, consultants and contractors to proactively address disputes related to ongoing projects and to escalated complex issues to the Construction Manager for resolution.
- Contract Administration – Create, review and prepare contracts with third‑party suppliers, construction companies and consultants; ensure organizational policies for bidding and selection processes are adhered to; support procurement, expediting and quality control activities of all required construction materials, equipment and services.
- Tracking of Construction Projects Performance – Use project scheduling and control tools to monitor project plans, work hours, budgets and expenditures; review field inspection reports from consultants and analyze performance to provide reliable information for future planning.
- Project Documentation – Coordinate and maintain all required documentation for projects to ensure smooth coordination between Construction Projects and Operations and delivery within scope, on time and on budget; prepare completion certificates and secure all close‑out documents.
- Project Payables – Coordinate with the Project Accountant and Accounting groups to ensure proper coding of invoices and charge‑backs and track purchase orders, invoices, change orders and work orders proactively.
- Vendor and Third‑Party Coordination – Resolve major vendor, supplier, trade and other third‑party challenges; reconcile/process necessary vendor adjustments to keep projects on time and on budget.
- Support to Annual Budgeting and Internal Reporting – Assist with the preparation of annual construction budgets, forecasts and provide quarterly updates, monthly expenditures and variance reports.
- Any other job related duties and/or projects that may be assigned.
Qualifications
- Degree or Diploma in Project/Construction Management, Architectural Sciences or Civil Engineering.
- 3–5 years of experience supporting Construction Managers in the delivery of development projects.
- Proficient in MS Project, MS Office, Fieldwire and PlanSwift.
- Proficient in the use of project/construction management software.
- Knowledge of the building development/redevelopment industry.
- Familiarity with construction methods and building codes.
- Effective verbal, written and presentation communication skills.
- Proven ability to work independently and in a team‑based environment.
- Willingness to be flexible and adaptable to changing priorities.
- Strong multitasking and organizational skills.
- Required to travel to properties by own vehicle and some travel out of province.
