JOB PROFILE

The Data Coordinator is a specialist technical role within the Monitoring, Evaluation, and Learning (MEL) Department, reporting to the MEL Manager. The role focuses on supporting MEL operations, managing data systems, and coordinating the collection and validation of high-quality data from field and programme teams. The Data Coordinator ensures that the Foundation’s data systems and dashboards function efficiently and that operational data meets quality and consistency standards.

Job Purpose

The Data Coordinator is responsible for maintaining and optimising the Impact Tracker and MEL data systems, coordinating data collection, cleaning, and reporting activities, and supporting field teams to ensure accurate and timely data submission. The role contributes to organisational learning by generating reports, visualisations, and insights that inform programme management, strategic decisions, and operational improvements. Regular interaction with field sites ensures that data collection methods are reliable, practical, and aligned with MEL standards.

Duties And Responsibilities

Impact Tracker & Dashboard Administration:

  • Maintain the ongoing functionality, integrity, and performance of the Impact Tracker system.
  • Conduct regular quality assurance/quality control (QA/QC) reviews to ensure accurate, complete, and up-to-date data.
  • Monitor dashboard responsiveness, data visual integrity, and alignment with reporting requirements.
  • Collaborate with internal staff and external developers to resolve technical issues, implement improvements, and manage system updates.
  • Document system workflows, structures, and updates to ensure continuity and sustainability.

Data Management & Analysis

  • Coordinate the collection, cleaning, validation, and organisation of data from multiple field and program sources.
  • Ensure data submission protocols are followed and support field teams in strengthening data accuracy and completeness.
  • Conduct basic-intermediate data analysis to identify trends, errors, and insights.
  • Produce routine reports, visualisations, and summaries for program teams and management decision-making.
  • Undertake regular field visits to verify data quality, understand operational contexts, and strengthen local data systems.

MEL Coordination & Support

  • Support the development and implementation of program MEL plans and logframes, including performance indicators, data collection tools, and reporting schedules.
  • Provide hands-on technical support and capacity building to field teams to improve data practices and use of tools.
  • Assist with documentation of methodologies, standards, and guidelines as required by the MEL Manager.

Knowledge Management & Learning

  • Support internal learning activities such as workshops, training, and cross-program data reviews.
  • Help compile lessons learned, success stories, and findings to inform organisational learning.
  • Conduct basic research or literature scans to identify emerging MEL practices relevant to the Foundation.

Collaboration & Representation

  • Build productive working relationships with program teams, field partners, and external stakeholders to support information flow and data alignment.
  • Represent the MEL function in internal and external forums as delegated by the MEL Manager.

Minimum Requirements

  • 3+ years of experience in data coordination, data management, MEL, or a related technical field.
  • Experience developing dashboards, reports, or automated data workflows.
  • Experience supporting field data collection processes (preferred but not essential).
  • Strong written and verbal communication skills, particularly for non-technical audiences.
  • Demonstrated ability to work independently when resolving routine data or system issues.
  • High attention to detail and commitment to data accuracy.
  • Ability to work collaboratively across teams and countries.
  • Willingness and ability to travel to field sites, including remote areas with challenging travel conditions.

Desired Skills And Experience

  • Data Modelling: Basic understanding of data modelling and statistical concepts.
  • Data Management: Good working knowledge of data management practices; strong proficiency in Google Sheets is required.
  • Data Visualisation: Ability to produce dashboards and visual outputs using PowerBI, Excel, Google Sheets, and web-based tools.
  • Dashboard QA/QC: Experience conducting quality reviews on digital dashboards to ensure accuracy and proper functionality.
  • Communication: Ability to present data clearly to diverse audiences.
  • Problem-solving: Demonstrated capacity to identify and resolve basic data-related issues.
  • Attention to Detail: Strong accuracy, consistency, and completeness in all data tasks.
  • Teamwork: Collaborative approach to working with cross-functional teams.
  • Continuous Learning: Commitment to expanding technical skills and staying current with MEL and data trends.
