Position Overview

A global pharmaceutical company has a 12‑month contract position for a Digital Coordinator.

Job Purpose

  • The Digital Coordinator is a critical member of the team responsible for the coordination and organization of training events for Healthcare Professionals (HCPs) in South Africa. This includes hands‑on trainings, Clinical Specialist (CS) facilitations, and events such as standalones, new product launches, and congress events.
  • The Digital Coordinator works on digital content design, updates, and localization for Marketing branded materials, as well as manages the various digital platforms from a content design and administrative perspective.
  • This role requires working as part of an Administrative Team and may therefore support other departments such as Marketing on specific projects, especially related to digital and events. The candidate should have strong collaborative skills and a high level of administrative and operational competence. The successful candidate must demonstrate exceptional attention to detail, accountability, and agility in a fast‑paced business environment with continuously new projects and events. A self‑starter approach is essential.

Key Responsibilities

Event Coordination & Execution

  • Overall logistical management of Marketing Events, including hands‑on trainings, product launches, congress events, virtual activities (e.g., webinars), and onsite assistance (materials prep, sample tracking, photography; may require national travel)
  • Arranging speaker logistics (tickets, accommodation)
  • Training volunteer logistics management (creating database, arranging volunteers for trainings)
  • Regular/daily communication with Clinical Specialists; accountability for ordering and monitoring previously approved “At No Charge” products for clinical facilitations/workshops

Documentation & Compliance Process

  • Preparing documentation and running approval/closing processes following the affiliate documentation protocol and compliance requirements
  • Amending Artwork for localizing assets and managing Veeva approval process for invitations, agenda; sending to HCPs
  • Liaising with agencies for documentation prep/localization for materials used during events (visuals, booth, booklets, brochures) and post‑event (feedback survey, certificates, evaluation forms)
  • Contracting with agencies and monitoring payments
  • Final checking, scanning, uploading on dedicated SharePoint folders, and closing documentation after each event/facilitation (including compliance and audit tracking)
  • Responsible for regular monitoring of compliance for clinical facilitations; final checks and closing documentation uploaded by CS on SharePoint
  • Providing analytics on event feedback and surveys

Digital Platform Management & Content

  • Working with agencies to secure localization and approval processes for new digital assets and resources for the company and Marketing (inputs from Meeting Planner & Admin/Marketing)
  • Involvement in localization and creation of local materials
  • Involvement in localization and creation of local Marketing materials (with Marketing Lead)
  • Managing localization and approval of new Clinical Specialist materials produced by IMCO team or created locally
  • Management and content upkeep of Digital World, Faculty Connect (online educational platforms), and the company Access website—including designing, updating content, backend management, and uploading of materials
  • Designing content supplied by the Marketing and the team for use across digital platforms and social media pages, ensuring that all materials are engaging, on‑brand, and appropriate for the target audience

Requirements

Digital Competencies & Technical Skills

  • Formal qualification in digital, marketing, or related discipline.
  • Proven track record in delivering successful digital marketing projects.
  • Demonstrates comfort and proficiency navigating various digital platforms and tools.
  • Experience with Adobe Event Manager, Absorb, Veeva, Salesforce, and Canva an advantage.
  • Experience with additional design platforms is an advantage.
  • Capable of content creation, digital localization, and using analytics tools to interpret event feedback.
  • Continuous learning mindset for emerging digital tools and event technologies.

Administrative and Collaborative Requirements

  • Works as part of an Administrative Team requiring strong collaborative skills.
  • Demonstrates a high level of administrative and operational competence with exceptional attention to detail.
