Role Description

This is a full-time remote position for a Housing and Registration Manager. The successful candidate will oversee all aspects of housing and event registration processes for conferences and events. Responsibilities include managing housing operations, coordinating with hotels and venues, setting up online registration platforms, tracking attendee data, and providing customer service. Additionally, the role involves generating reports, ensuring deadlines are met, and collaborating with internal and external stakeholders to ensure seamless attendee experiences.

Responsibilities

  • Contract Negotiation & Procurement: Lead the RFP process, evaluate proposals, and negotiate hotel contracts to secure the most favorable rates, terms, and room blocks for clients.
  • Room Block Management: Oversee the entire housing lifecycle, effectively managing allocations, cancellations, and ongoing client adjustments up to event day.
  • Portal Setup & Integration: Manage the launch and seamless integration of registration and housing portals, including internal testing and troubleshooting.
  • High-Volume Communications: Manage multiple dedicated email accounts per conference, efficiently handling high-volume attendee inquiries and developing tailored templates for confirmations and payments.
  • Financial & Compliance Oversight: Handle financial document setup, ensure tax and data privacy compliance, and deliver monthly and final financial reconciliations.

Qualifications

  • Bilingual in English and French desirable
  • Proficiency in housing operations, including hotel and venue coordination
  • Experience in using event registration platforms and attendee data management
  • Strong organizational and project management skills
  • Customer service and effective communication abilities
  • Analytical skills for generating and interpreting reports
  • Familiarity with event management tools and technology
  • Ability to work independently and in a team, managing multiple deadlines remotely
  • Bachelor's degree in Event Management, Hospitality, Business, or a related field (preferred)
  • Prior experience in conference or event housing and registration processes is highly valued
