Role Overview
- We are looking for a detail-oriented and proactive Junior Associate – HR Operations to support and manage day-to-day HR operational activities and employee lifecycle processes. The role will primarily focus on onboarding, HR documentation, HRMS management, attendance and leave management, payroll coordination, employee records management, and HR compliance documentation.
- The ideal candidate should have prior experience in HR operations and preferably exposure to a digital marketing, advertising, or agency environment, where teams are fast-paced and dynamic. The candidate will work closely with HR, Finance, and Business Teams to ensure smooth HR operations and employee lifecycle management.
Key Responsibilities
1. Employee Lifecycle Management
- Support end-to-end employee lifecycle processes from onboarding to exit
- Manage employee onboarding documentation and induction coordination
- Prepare and issue employment-related documents such as offer letters, appointment letters, confirmation letters, and experience letters
- Maintain employee personal files, records, and documentation
- Track employee probation and confirmation timelines
- Support employee exit process including exit documentation, clearance process, and Full & Final settlement coordination
- Ensure employee records and documentation are updated regularly
2. HR Operations & Documentation
- Maintain employee database and HR records
- Maintain HR policies, SOPs, and employee handbook documentation
- Ensure all employee documents and HR records are properly filed and maintained
- Prepare HR reports, employee data reports, and HR MIS reports
- Support performance management documentation and appraisal cycle documentation
- Maintain organizational charts, employee records, and HR trackers
- Ensure HR documentation and records are audit-ready at all times
3. HRMS, Attendance & Leave Management
- Manage employee data in HRMS (Keka)
- Maintain attendance, leave records, and employee information in HRMS
- Ensure employee attendance and leave records are accurate and updated
- Generate attendance and leave reports for payroll processing
- Support employees in HRMS-related queries and updates
4. Payroll Coordination
- Coordinate payroll inputs with the finance team
- Share monthly payroll inputs such as attendance, leave records, new joiners, exits, salary revisions, and reimbursements
- Maintain payroll input trackers and documentation
- Support payroll documentation and employee salary records
5. Statutory & Compliance Documentation
- Maintain employee statutory records and compliance documentation
- Support HR compliance processes and documentation
- Maintain employee records required for audits and statutory compliance
- Coordinate with the finance team and external consultants for compliance documentation
6. Employee Engagement & HR Support
- Support employee engagement activities and HR initiatives
- Assist in organizing employee engagement events and activities
- Address employee queries related to HR policies, attendance, leave, and HR processes
- Work closely with managers and teams for HR operational support
7. Stakeholder Coordination
- Work closely with HR team, the Finance team, and Department Managers
- Coordinate with multiple stakeholders for onboarding, payroll inputs, employee documentation, and HR processes
- Ensure smooth communication between employees, managers, and HR team
Required Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or related field
- 2–3 years of experience in HR Operations / HR Administration / HR Generalist role
- Prior experience in a Digital Marketing Agency / Advertising Agency / Creative Agency / Media Agency will be an added advantage
- Experience working with HRMS tools, preferably Keka HRMS
- Basic knowledge of employee lifecycle management and HR documentation
- Experience in attendance and leave management, and payroll coordination support
- Basic understanding of HR compliance and documentation
- Strong organizational and documentation skills
- Good communication and coordination skills
- Proficiency in MS Excel and HR reporting
