About the Role

Manager: Staffing Solutions (Operations) Hospitality and Healthcare will oversee healthcare and hospitality operations in the Western Cape. The requirement is to ensure that core processes are followed coupled with business development needs and management of employee lifecycles. The role will liaise with clients to ensure services meet expectations and resolve any issues promptly. Management of payroll, other overheads and general expenses are a key performance indicator for the role. The ability to work after hours and on weekends will be necessary from time to time.

Key Performance Areas

  • Set up and attend regular meetings with clients to ensure their needs are met and exceeded by contract employees, coordinators and supervisors.
  • Address invoicing queries promptly, ensuring resolution within a reasonable timeframe.
  • Conduct regular meetings with managers/supervisors for feedback and support in overcoming challenges.
  • Document updates from client meetings in MyPpleOnline, escalating any concerns to the Regional Manager immediately.
  • Perform spot checks on sites to ensure compliance with client dress codes and standards.
  • Perform regular Gemba walks as per DP World requirements
  • Ensure absolute quality and high standards in health and safety at all sites and in the admin office

Staff Client Relationship

  • Maintain high standards of customer relations, addressing client complaints immediately and effectively, with written feedback provided.
  • Redirect unresolved complaints to the Regional Manager, following established protocols.
  • Communicate any necessary changes to client rate schedules to management for approval.
  • Keep track of annual increase dates and minimum wage changes.
  • Be readily available to clients, ensuring timely responses to inquiries and issues.
  • Identify client requirements and relay staffing needs to relevant departments.
  • Anticipate client needs, acting swiftly to address them.
  • Ensure requests from outside authority are escalated appropriately and followed through for client satisfaction.

Costing and Payroll

  • Assist managers and payroll in completing payroll processes as needed.
  • Ensure timely submission of payrolls by Contract supervisors and coordinators to the payroll admin department.
  • Provide accurate billing information to Debtors for prompt account settlements.
  • Assist clients with invoice queries, ensuring clarity on payment terms.
  • Be knowledgeable about invoice details to address client questions effectively.

Reporting

  • Attend monthly staff meetings at major sites to stay informed.
  • Prepare reports for the Regional Manager detailing client site activities.
  • Ensure debt recovery from both staff and clients is managed efficiently.
  • Maintain tight control over overhead costs.
  • Report on Contract supervisors and coordinators’ progress and developmental areas.
  • Support Contract supervisors and coordinators in addressing site challenges.
  • Ensure timely completion and submission of performance appraisals

HR / IR

  • Facilitate disciplinary hearings for staff issues and be available for CCMA conciliations if necessary.
  • Ensure WCA forms are available and correctly filled for clients on-site.
  • Follow up on the status of staff members who have had IODs.

Staff Engagement

  • Ensure all sites have comprehensive work schedules and processes in place that depict each team members roles and responsibilities at site, broken down to daily activities. Furthermore, to ensure there is buy in from the various clients and that this schedule is signed-off by all as in the client, yourself and the staff.
  • To train and ensure each staff member is aware of his/her duties and daily site requirements.
  • Ensure all staff are fully uniformed along with the required footwear for that site, including safety gear
  • Ensure the site safety file is fully completed and comprehensive with DP World principles and emergency contact numbers.
  • Ensure a sufficient ADHOC/Reliever pool of staff is maintained across all sites.
  • Engage with staff during bookings and onsite visits to understand their needs.
  • Implement and maintain client calling schedules that illustrate your planning and facilitation of client visits including those of all of your reporting Contract supervisors and coordinators, these are then to be presented to the Regional Executive monthly.
  • Implement and execute at least 4x site inspections per month with your Contract supervisors and coordinator - these inspection reports are to be loaded onto SheqX weekly.
  • To ensure all Contract supervisors and coordinators are always presentable, punctual and professional always, this includes the inspection of the company assets for cleanliness and abuse.
  • Recognize high-performing staff and address underperformance through counselling or retraining.
  • Provide wellness counselling support for staff experiencing trauma or stress.

Rate Schedules

  • Understand client rate schedules and ensure all statutory charges are accurate.
  • Ensure all staff are compensated above the minimum wage.
  • Send updated rate schedules to clients and ensure signed copies are sent to payroll for processing.

Training

  • Ensure staff receive training aligned with Pple standards and client requirements.
  • Collaborate with Contract supervisors and coordinators to conduct training needs analyses every six months.
  • Identify site-specific training needs in partnership with clients, aiming to exceed their expectations.
  • Develop individual growth plans for all staff to ensure sustainability and career development.

General

  • Keep management informed about progress and results in relevant areas.
  • Seek new clients and ideas to enhance service offerings based on client feedback.
  • Pursuing new business leads actively.
  • Be available in the office as needed, especially during peak periods for staff allocations.
  • Ensure essential information is communicated accurately to relevant staff and management.

Qualifications Required

  • Diploma NQF 6 is an advantage

Experience and Skills Required

  • Minimum 3 – 4 years Management Operational experience in hospitality and staffing solutions
  • Basic reporting knowledge/skill
