The Role

What you’ll own:

Scheduling & Resource Management

  • Own weekly scheduling across delivery teams
  • Allocate work across WordPress, SEO and paid media functions
  • Manage priorities and workloads
  • Ensure the right people are working on the right tasks

WordPress Project Coordination

  • Coordinate all WordPress support and build work
  • Manage ticket flow and project timelines
  • Liaise with developers to ensure progress is maintained
  • Follow up on blockers and overdue items
  • Help keep multiple projects moving simultaneously

Internal Meetings & Team Management

  • Attend internal team meetings and stand-ups
  • Capture actions and next steps
  • Hold team members accountable to agreed deadlines
  • Ensure communication flows clearly across the business

Time Tracking & Reporting

  • Collect and review weekly time reports
  • Track utilisation across the team
  • Highlight undercapacity or bottlenecks
  • Support better resource planning over time

Estimation & Delivery Support

  • Assist with basic project estimations
  • Help forecast capacity for new work
  • Support smoother handover from sales into delivery

Systems & Process Improvement

  • Maintain ClickUp / project management systems
  • Improve workflows where opportunities exist
  • Bring structure and consistency to internal operations

The Person

Who we’re looking for:

  • 1–3 years experience in operations, project coordination or agency support
  • Experience using project management tools such as ClickUp, Trello, Asana or Monday
  • Strong written communication skills
  • Confidence working with multiple deadlines and stakeholders
  • Technical confidence / willingness to learn WordPress

Nice to have:

  • Agency background
  • Exposure to WordPress projects
  • Understanding of SEO or digital marketing workflows
