The National Association of Japan-America Societies (NAJAS) is a membership association of 39 independent Japan-America Societies across North America. Formed in 1979, NAJAS' mission is to strengthen this national network devoted to grassroots relations and promote the relationship between the United States and Japan. NAJAS provides services including grant distribution for Japan-related speaker series, an Annual Conference, and assistance in non-profit operations.

NAJAS supports exchange and training programs to build the next generation of Japan-focused scholars and professionals and has partnered to field a data hub for collaboration among Japan-related non-profits.

Position Description

The Project Manager for Operations & Exchanges reports to the President of NAJAS and manages budget and finances, operational and governance support duties including:

Operations & Finance

  • Shared responsibility for constructing and controlling a budget exceeding $1.5 million and fiduciary stewardship.
  • Financial management including budgeting, tracking reports, bank accounts, payroll processing, dues collection, audit contribution, and tax filing.
  • Manage out-sourced accounting, auditing, IT, and other service providers.
  • Assist President with scheduling, Board of Directors and Committees support, and travel.
  • Oversee physical office management including supplies, vendors, subscriptions, and rentals.
  • Assist in recruiting and onboarding interns and staff.
  • Maintain registrations, business licenses, and insurance policies.

Meetings & Conferences

  • Manage logistics for the annual NAJAS Network Conference including budgeting, venue and hotel selection, contracting, registration, and shipping/procurement.

Grants Management

  • Administer and support event grants to member societies including renewing agreements, reporting, expenditure reports, and disbursements.
  • Update budgets and oversee financial reports for grant programs.

Exchange Administration & Projects

  • Administer two exchange programs including budgeting, board coordination, financial tracking, contractor payments, license renewal, and operational support.
  • Liaise with grant partner and contractors to maintain an online data hub.
  • Execute or oversee annual membership survey.
  • Assist Outreach Manager with member benefits and promotional discounts.

Qualifications

  • Enthusiasm for customer service and NAJAS mission; strong interpersonal skills.
  • Proven financial management, administrative management, and communications skills.
  • Project management experience.
  • Facility with budgets, financial trackers, accounting spreadsheets, and financial statements.
  • Familiarity with or ability to master QuickBooks Online.
  • Excellent attention to detail, organization, and time-management skills.
  • Experience in event and travel arrangement.
  • Strong written and oral English communication skills; Japanese language skill useful.
  • Strong IT aptitude and/or working knowledge of project management and client relationship/grant management software.
  • Willingness to work outside standard work week occasionally and travel beyond Washington region up to 15% of annual work hours.

Compensation and Benefits

  • Starting base salary: $70,000 - $80,000, commensurate with experience.
  • Annual salary reviews considering cost-of-living and performance.
  • Employer contributes 3% of annual salary into a retirement account.
  • Health insurance premium reimbursement up to $600 per month.
  • 6 days paid sick leave and 15 days annual paid vacation initially; vacation extends to 20 days after first full year.
