About the role

We are seeking a reliable and detail-oriented Office Manager / Bookkeeper to support daily office operations and oversee core accounting and administrative functions. This is a fully onsite role in West Chester, PA, ideal for someone who enjoys wearing multiple hats in a small-to-mid-sized business environment.

This is a contract to hire opportunity.

Key Responsibilities

Accounting & Bookkeeping

  • Manage Accounts Receivable (AR) and Accounts Payable (AP) processes
  • Utilize QuickBooks for data entry, reconciliations, and financial tracking
  • Pull and prepare financial and payroll-related reports as needed
  • Perform accurate and timely data entry across accounting and administrative systems

Payroll Support

  • Coordinate with an external payroll service (Payroll Factory)
  • Ensure payroll is processed accurately and on time for salaried and hourly employees
  • Review payroll reports and verify accuracy before and after processing

Office Management & Administrative Support

  • Answer incoming phone calls and direct inquiries appropriately
  • Manage and stock office supplies and coordinate with vendors as needed
  • Provide general administrative and office support to ensure smooth daily operations

REQUIRED SKILLS AND EXPERIENCE

  • Prior experience as an Office Manager, Bookkeeper, or similar role
  • Hands-on experience with QuickBooks
  • Working knowledge of AR/AP and payroll processes
  • Strong attention to detail and organizational skills
  • Comfortable handling both accounting tasks and front-office responsibilities
  • Reliable, professional, and able to work independently in an onsite environment
