As we grow, we are looking for a sharp, dependable Office Manager & Marketing Associate to keep our office operations running smoothly while helping us attract and connect with the clients who need us most.
Position Summary
This role will help build the operations of our Falls Church office while serving as the backbone of our marketing. As Office Manager & Marketing Associate, you will keep the day-to-day running of the office on track while executing the firm’s core marketing activities and supporting our client intake process. You’ll work closely with our online marketing agency and serve as the internal point of contact between our team, our partners, and our prospective clients.
You’ll start with an initial training period in our Winchester, VA office, then transition to a hybrid schedule between remote work, Winchester, and Falls Church, eventually moving fully into our Falls Church office. Key Responsibilities
Office Management
- Serve as the operational point of contact for the Falls Church office — keeping things organized, running on time, and well-coordinated
- Manage schedules, correspondence, and day-to-day administrative tasks for firm leadership
- Support onboarding of new systems, processes, or team members as the firm grows
- Take on additional operational projects as the role expands, including CRM buildouts, AI integration, and system optimization
Client Intake & CRM Support
- Manage CRM — ensuring all leads are entered accurately, followed up on promptly, and moved through the pipeline efficiently
- Maintain 5-minute response times to all inbound leads
- Schedule estate planning consultations and coordinate client communications
- Track and report on lead flow, consultation rates, and revenue impact for firm leadership
Marketing
- Review and approve marketing content produced by marketing agency, including blogs, newsletters, social posts, and press releases
- Serve as the primary day-to-day contact for the marketing agency and attend monthly strategy calls
- Monitor dashboards for campaign performance and lead activity
- Manage the response time tracker to ensure timely follow-up on all inquiries
- Request and respond to Google reviews professionally and consistently
- Run reports and maintain a marketing scorecard to track key metrics
- Attend meetings with leadership and help keep the team accountable to firm goals
- Renew and manage bulletin and print ad placements; oversee print materials and coordinate design as needed
- Generate and post original, organic social media content on a consistent schedule
Events & Partner Relations
- Help plan and execute firm-sponsored workshops, seminars, and community events
- Coordinate partner outreach and manage relationship-building gifts and touchpoints
- Represent the firm at events with professional hosting and genuine hospitality
Qualifications
Education & Experience
- Bachelor’s degree in Marketing, Business, Communications, or a related field (preferred)
- 2+ years of experience in office management, marketing, or a similar blended role
- Demonstrated social media skills — you know how to create content that engages and converts, not just fills a calendar
- Experience working with external vendors or marketing agencies a plus
- Familiarity with CRM platforms is a plus
- Event planning or hospitality experience a plus
