Position Overview

  • Title: HR Assistant
  • Location: Cotati, California (on‑site)
  • Employment Type: Full‑time, hourly (non‑exempt)
  • Compensation: $25 – $28 per hour, based on experience and qualifications
  • Reports To: HR Manager / Operations Director

The HR Assistant will support all phases of the employee lifecycle—from recruiting and interview coordination to onboarding, record‑keeping, and employee engagement initiatives. This is an ideal entry‑level role for recent graduates or candidates with prior administrative experience who are eager to develop a career in human resources within a mission‑driven organization.


Key Responsibilities

Recruiting & Interview Coordination

  • Post job openings on internal portals, job boards, and community networks.
  • Screen resumes, conduct initial phone screens, and schedule interviews with hiring managers.
  • Communicate interview details and follow‑up with candidates, ensuring a positive candidate experience.

Onboarding & New‑Hire Administration

  • Prepare new‑hire packets (offer letters, tax forms, benefits enrollment, employee handbook).
  • Conduct orientation sessions and facilitate introductions to team members and key stakeholders.
  • Ensure all required documentation is completed, signed, and filed in compliance with state and federal regulations.

HR Records & Data Management

  • Maintain accurate employee files (both physical and electronic) in the HRIS system.
  • Update personnel records for promotions, transfers, terminations, and other status changes.
  • Generate routine HR reports (headcount, turnover, training completion) as needed.

Employee Engagement & Support

  • Assist in planning and executing employee appreciation events, wellness activities, and community outreach programs.
  • Serve as a point of contact for employee inquiries regarding policies, benefits, and HR procedures.
  • Help administer performance review cycles and track completion.

Compliance & Administrative Support

  • Monitor and ensure compliance with OSHA, labor law, and industry‑specific regulations.
  • Process HR-related paperwork (time‑off requests, leave of absence, FMLA, etc.).
  • Provide general administrative support to the HR Manager, including calendar management, travel arrangements, and expense reporting.

Required Qualifications

  • Education: High school diploma or GED required; Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • Experience: 0–2 years of administrative or HR‑related experience (internships, volunteer work, or entry‑level positions acceptable).
  • Technical Skills: Proficiency with Microsoft Office (Word, Excel, Outlook) and familiarity with HRIS or applicant tracking systems (experience with BambooHR, Workday, or similar is a plus).
  • Communication: Strong written and verbal communication skills; ability to interact professionally with candidates, employees, and external partners.
  • Organizational Ability: Exceptional attention to detail, multitasking capability, and ability to meet deadlines in a fast‑paced environment.
  • Interpersonal Skills: Friendly, approachable demeanor with a genuine interest in helping others succeed.

Preferred Qualifications

  • Prior experience in a healthcare, emergency services, or public‑service environment.
  • Knowledge of California labor laws and OSHA regulations.
  • Certification or coursework in HR (e.g., SHRM‑CP, HRCI‑aP) or a willingness to pursue certification.
