Phoenix Restoration provides emergency response and restoration services across Calgary and surrounding areas, supporting both residential and commercial clients. Our projects range from water and fire damage to complex trauma and environmental cleanup situations.
We work closely with property owners, insurance representatives, and sub-trades to ensure projects move efficiently from initial response through to completion. Position Overview
The Project Management Administrator plays a key role in keeping projects organized, documented, and progressing on schedule. This position supports Project Managers by handling administrative coordination, maintaining accurate records, and acting as a central point of communication between clients, trades, and internal teams.
Key Responsibilities
- Maintain and organize project files and documentation in a fast paced - emergency based environment.
- Coordinate schedules for crews, inspections, and sub-trades
- Assist with insurance-related documentation and correspondence
- Prepare and track invoices and project-related billing
- Communicate with clients to provide updates and respond to inquiries
- Support estimating processes, including Xactimate (training provided)
- Ensure timelines and administrative tasks are completed efficiently
Qualifications
- Experience in administration, coordination, or office support roles
- Background in restoration, construction, or insurance (considered an asset)
- Strong organizational and time management abilities
- High attention to detail and accuracy
- Effective written and verbal communication skills
- Comfortable managing multiple files and priorities simultaneously
- Familiarity with Xactimate is an asset but not required
Requirements
- Diploma or equivalent work experience
- Valid driver’s license & vehicle
- Clean criminal background check & drivers abstract upon request
