Location: Remote — US Eastern timezone overlap required
Employment Type: Full-time only — this is not a consulting or fractional role

Company Overview

We are a 32-year-old healthcare billing and medical records company with approximately 200 employees across the US, Peru, and India.

The CEO is stepping out of day-to-day operations to focus on growth and business development. This role exists to break the cycle of the CEO having to step back in to fix operations. You will own operations so the CEO can stay focused on growth.

You will take over as the operational leader of the business. You will own process design, technology decisions for operations, team coordination across three countries, and continuous improvement. You do not wait to be told. You decide, you drive, you own outcomes. The CEO will help you understand the business, but you lead.

What You’ll Own

  • Full ownership of day-to-day operations across the US, Peru, and India
  • Direct accountability for operational performance, quality, and throughput
  • Workflow analysis, redesign, standardization, implementation, and measurement
  • Moving the organization from inconsistent ways of working to repeatable, scalable processes
  • Capturing institutional knowledge from long‑tenured staff and systematizing it
  • Deciding which tools, technology, automation, and AI should be deployed in operations
  • Partnering with the Solutions Architect / CTO on system design while owning operational requirements
  • Owning the operational side of the company’s ERP platform
  • Designing and building operational processes for new products and client engagements
  • Evaluating team structure, roles, and capacity, and implementing needed changes

  • Not a consulting engagement
  • Not a support role to help the CEO run operations
  • Not just process documentation
  • Not a pure tech role
  • Not dependent on already knowing the healthcare billing industry

What We’re Looking For

  • 7+ years leading operations in a mid‑size company (100–500 people)
  • Proven ability to analyze complex workflows, redesign them, and implement changes that stick
  • Strong process + technology mindset
  • Experience with automation, AI, or digital transformation in operations
  • Comfortable working across countries, cultures, and functions
  • Strong ownership mentality and clear communication
  • Full-time availability

Strong Advantages

  • Healthcare billing, medical records, or insurance experience
  • Experience in AI‑driven transformation
  • ERP, RPA, or healthcare platform familiarity
  • Lean Six Sigma, BPM, or similar methodology
  • Latin American operations experience
  • English/Spanish bilingual

First 90 Days

  • Immerse in operations across all three countries
  • Map current‑state workflows and identify the top operational pain points
  • Present an operational assessment and priorities to the CEO
  • Design the first future‑state workflow
  • Implement the first major improvement initiative end‑to‑end
  • Establish operating rhythm and present a 6‑month transformation roadmap

How Success Will Be Measured

  • Operations runs without CEO intervention
  • Core workflows are documented, standardized, and followed
  • Manual effort, errors, or cycle time decrease
  • The operations team sees you as their leader
  • At least one meaningful automation or AI initiative is deployed
