We are a boutique executive search firm specializing in the recruitment and placement of Financial Advisors for a select network of wealth management firms, RIAs, broker-dealers, and family offices. Our clients trust us to identify, engage, and place top advisor talent who can grow their books of business and serve high-net-worth clients. As we expand, we are looking for a sharp, driven Recruiting Associate to help us scale our outreach, candidate pipeline, and brand presence.

Role Overview

The Recruiting Associate plays a pivotal role in supporting the full advisor recruiting lifecycle - from sourcing and outreach through interview coordination and candidate management. In addition to recruiting, this role provides hands-on administrative and marketing support to keep our search engine running smoothly and our brand visible across the financial advisor community. This is a high-impact seat for someone who wants exposure to executive search, wealth management, and the operational side of a growing firm.

Key Responsibilities

Recruiting & Sourcing

  • Source Financial Advisor candidates across LinkedIn Recruiter, BrokerCheck/FINRA, AdvisorHub, internal databases, referrals, and targeted research lists.
  • Conduct initial outreach via phone, email, and LinkedIn InMail to prospective advisors; track response rates and refine messaging.
  • Pre-screen candidates to assess production levels (AUM, T-12, GDC), client mix, licensing (Series 7, 65/66, CFP , etc.), and motivations for a move.
  • Maintain the candidate pipeline in our ATS/CRM with detailed notes, statuses, and follow-up tasks for every active and passive candidate.
  • Coordinate interviews between advisors and client firms, including scheduling, calendar management, and post-interview debriefs.
  • Support due diligence by gathering compliance disclosures, references, and production documentation as candidates progress.

Administrative Support

  • Own the founder's recruiting calendar - schedule advisor calls, client check-ins, and travel as needed.
  • Maintain CRM hygiene across HubSpot (or equivalent) - clean records, log activities, build lists, and run weekly pipeline reports.
  • Draft and send candidate communications such as outreach sequences, interview confirmations, and follow-up notes.
  • Prepare client-facing materials including candidate submission packets, search updates, and weekly status reports.
  • Track key metrics (outreach volume, response rates, submissions, placements) and surface trends to leadership.
  • Handle general operational tasks - expense tracking, vendor coordination, file organization, and onboarding new tools.

Marketing & Brand

  • Manage our LinkedIn presence - draft and schedule posts, engage with advisor communities, and grow our follower base.
  • Support email marketing campaigns to candidates and clients (newsletters, market updates, advisor opportunities).
  • Produce light marketing collateral - one-pagers, opportunity briefs, and pitch decks - in coordination with leadership.
  • Help maintain our website by updating job listings, blog posts, and client testimonials.
  • Identify content opportunities (industry trends, advisor news, regulatory changes) that can fuel outreach and thought leadership.

Qualifications Required

  • 2-4 years of professional experience in recruiting, sales development, executive search, financial services, or a comparable client-facing role.
  • Excellent written and verbal communication - you can write a clean outreach email, hold a confident phone conversation, and represent the firm professionally.
  • Strong organizational skills with a track record of managing multiple priorities and deadlines without dropping the ball.
  • Comfort with technology - LinkedIn, CRM/ATS systems, Google Workspace or Microsoft 365, and the willingness to learn new tools quickly.
  • Self-motivated and resourceful - thrives in a remote, fast-paced environment with limited oversight.
  • High level of discretion when handling confidential candidate and client information.

Preferred

  • Prior exposure to wealth management, RIAs, broker-dealers, or financial advisor recruiting.
  • Experience with HubSpot, Bullhorn, Crelate, or similar CRM/ATS platforms.
  • Working knowledge of LinkedIn Recruiter, Sales Navigator, or other sourcing tools.
  • Familiarity with FINRA registrations and basic advisor industry terminology (AUM, T-12, GDC, fee-based vs. commission).
  • Experience with Canva, Mailchimp, or similar marketing tools.
  • Bachelor's degree or equivalent professional experience.
