About the role

Overview

  • Meeting to review the SOW / bid defense for 2226 (Swiftwater vaccine site): a site wide, multi tiered reliability & instrumentation initiative.
  • Project goal: ~$3.0M in cost avoidance through EM strategy updates, obsolescence mitigation, spare parts optimization and reliability improvements; 11 LTAPs ongoing this year.
  • Expected engagement: 1 year activity, team of 2-4 reliability/instrumentation engineers (no more than 4), on site 5 days/week; SAP S/4HANA + Indiesoft integration for maintenance/calibration.
  • Procurement timeline and process: proposals delivered in Sales Graphs (plus the Excel attachment in the SOW); proposal deadline May 4; review window 48 hours; shortlisted suppliers will present 30 minute bid defense calls; target kickoff June 1 / mid June (subject to blackout adjustments).

Project Scope

  • Work focuses on reliability engineering and instrumentation to reduce maintenance costs across the Swiftwater vaccine site.

Team & Staffing

  • Staffing expectations: propose 2-4 on site contingent resources that can multi task across skill areas; suppliers should provide aggregate candidate profiles (not named individual r sum s).
  • Resources are expected on site 5 days/week with limited flexibility for absences; vendor teams will be managed as contingent workers by the supplier but the client (John's team) will provide day to day direction.
  • The engagement will extend existing internal reliability/maintenance staffing and include upskilling/handovers where needed.

Systems & Data

  • Current maintenance systems: SAP S/4HANA for maintenance activities, with calibration executed through Indiesoft (recent conversion from ProCal).
  • The opportunity is optimization of existing digital platforms (no platform migration planned); SAP and Indiesoft expertise is a critical skill set.
  • Data required for assessments: spare parts inventory, LTAP sections (availability of materials, obsolescence), maintenance/calibration schedules and APM metrics.

Savings, Risk & Compliance

  • The program is cost driven (not primarily compliance driven) and expects multi staged savings across streams (routine calibrations, PM elimination, improved APM, reduced scope, uptime gains).
  • Expected cumulative effect of multiple smaller initiatives to reach or exceed the $3M ask; savings must be demonstrated and documented to secure leadership funding.
  • Activities proposed must preserve current compliance levels while re allocating or reducing lower risk tasks; risk accounting and documentation will support changes.
  • Outlook: the proposal and documented early wins will be used to secure funding and proceed to implementation pending selection and blackout constraints.
