We are seeking a highly organized Talent Acquisition Assistant to support the Talent Acquisition team in managing an efficient, high-volume recruitment process within a fast-paced BPO/call center environment.

This role is primarily administrative, requiring exceptional skills in coordination, tracking, system management, and recruitment administration. The successful candidate will support recruitment operations while maintaining accurate systems, documentation, and reporting.

While the primary focus is administrative, the role requires the ability to assist with Talent Acquisition activities when needed, including candidate sourcing and screening during high-volume hiring campaigns.

Position Responsibilities

  • Coordinate and schedule interviews and assessments between candidates and hiring managers.
  • Provide administrative support to the Talent Acquisition team across high-volume recruitment campaigns.
  • Assist with candidate sourcing and initial screening when required.
  • Coordinate and support recruitment events and open days.
  • Maintain and update candidate records within the Applicant Tracking System (ATS), including hires, declines, and status changes.
  • Create, update, and maintain recruitment trackers, wage trackers, and reporting dashboards in Excel.
  • Coordinate pre-employment screening, including background checks and world checks.
  • Support onboarding administration, including documentation and system setup for new hires.
  • Ensure all recruitment systems, records, and ATS data remain accurate, organized, and up to date.
  • Manage multiple administrative tasks simultaneously while supporting high-volume recruitment initiatives.
  • Communicate professionally with candidates across all levels, including agent-level candidates and senior stakeholders.
  • Ensure all recruitment administration remains compliant with South African labour legislation and internal HR policies.

Candidate Qualifications

  • Grade 12 / National Senior Certificate (NSC).
  • An entry-level tertiary qualification in Human Resources or a related field (advantageous).
  • Minimum 1 year of experience in recruitment administration, HR administration, or recruitment coordination within a BPO or call centre environment (preferred).
  • Experience working with Applicant Tracking Systems (ATS) and HR systems.
  • Strong proficiency in Microsoft Excel, including managing trackers and reports.
  • Solid understanding of HR or recruitment administrative processes.
  • Extremely strong administrative and organizational skills.
  • Ability to manage high volumes of recruitment administration and tracking.
  • Highly detail-oriented, ensuring systems and documentation remain accurate and compliant.
  • Excellent communication skills when interacting with candidates and internal teams.
  • Professional, reliable, and able to maintain confidentiality when handling sensitive information.
  • Proactive and flexible, with the ability to support recruitment activities when hiring demand increases.
  • Ability to manage multiple priorities simultaneously in a fast-paced environment.

Physical Requirements

This job operates in a professional office environment. While performing the duties of this job, the employee will be largely sedentary and will be required to sit/stand for long periods while using a computer and telephone headset. The employee will be regularly required to operate a computer and other office equipment, including a phone, copier, and printer. The employee may occasionally be required to move about the office to accomplish tasks; reach in any direction; raise or lower objects, move objects from place to place, hold onto objects, and move or exert force up to forty (40) pounds.
