ESC has an exciting opportunity for a Talent Acquisition Coordinator – Interview Scheduler to support a fast-paced Talent Acquisition team within a dynamic corporate environment in Bolingbrook, IL. This 7-month contract role is ideal for a highly organized, service-oriented professional who thrives in a detail-driven setting and enjoys creating a seamless, high-touch experience for candidates and hiring teams. The Corporate Interview Scheduler will play a key role in coordinating interview logistics, supporting recruiters and hiring managers, and ensuring an exceptional candidate experience throughout the interview process. This is for LOCAL candidates only, and requires being in-office every other week Tuesday-Thursday.
Job Description
- Coordinate and schedule interviews across multiple corporate functions, levels, and time zones, primarily through Microsoft Teams
- Partner closely with Corporate Recruiters, Hiring Managers, and HR Business Partners to align on interview plans, timelines, and logistics
- Manage high-volume interview scheduling with strong accuracy, efficiency, and attention to detail
- Serve as the primary point of contact for candidates throughout the interview process, delivering a polished and high-touch candidate experience
- Prepare and distribute interview confirmations, agendas, and relevant materials to candidates and interview teams
- Maintain accurate and up-to-date candidate activity, interview details, and scheduling information within the applicant tracking system (iCIMS)
- Troubleshoot scheduling conflicts and proactively identify solutions to keep the hiring process moving forward
- Support coordination of panel interviews, debrief sessions, and related interview logistics
- Ensure compliance with internal processes, data integrity standards, and scheduling best practices
- Contribute to process improvement efforts by identifying opportunities to streamline workflows and enhance the overall interview experience
Must Have Qualifications
- 1–3+ years of experience in recruiting coordination, interview scheduling, HR support, or administrative support roles
- Experience working in a fast-paced, high-volume environment
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and adapt quickly to changing needs
- High level of professionalism and strong customer service orientation
- Proficiency in Microsoft Outlook and Microsoft Teams
- Ability to work business hours aligned to Central Standard Time (CST)
Nice to Have Qualifications
- Experience supporting a corporate Talent Acquisition or Recruiting team
- Experience using applicant tracking systems such as iCIMS
- Familiarity with scheduling across multiple time zones and stakeholder groups
- Experience coordinating panel interviews or complex interview calendars
- Exposure to process improvement or workflow optimization within recruiting operations
