About the role

Introduction

The Bookkeeper is responsible for the daily and monthly financial processing, reconciliations, and administrative support within the finance department. The role requires a candidate with proven practical experience who can manage the full bookkeeping cycle to Trial Balance with minimal supervision, ensuring all legacy processes and reporting standards are maintained with high accuracy.

Duties & Responsibilities

  1. Monthly Processing & Adjustments
  • Process all recurring monthly journals, including accruals, provisions, and margin reallocations.
  • Handle specific monthly usage reallocations for Trade Exchanges (coordinating with debtors/creditors), Voucher usage, and delivery charge reallocations.
  • Download and update the Income Statements, Balance Sheet, and Trial Balance for review.
  1. Fixed Assets & Asset Admin
  • Maintain the Fixed Asset module, including confirming additions against GL entries, processing disposals (with P/L reconciliation), and running monthly depreciation.
  • Coordinate the physical verification of equipment and update insurance schedules for all new or removed assets.
  • Complete the fixed assets section of the management pack, ensuring the module and GL are fully reconciled.
  1. Reconciliations & Payments
  • Review and sign off on weekly operational and urgent payments.
  • Review detailed weekly and monthly creditors' reconciliations (15, 25, and 30-day terms).
  • Load foreign currency payments via FNB CFC and Standard Bank Forex accounts, ensuring all inward payment forms are correctly submitted.
  • Conduct monthly petty cash counts and reconciliations.
  1. Costing & Imports
  • Verify and approve costing for imported stock by checking purchase orders against deposit payments, final balances, and freight invoices.
  • Reallocate payments between transport and stock suppliers as required.
  1. Treasury & Administration
  • Execute daily cash flow transfers between bank accounts to ensure sufficient funds for payments and credit card facilities.
  • Manage all bank administration, including user access updates across all accounts.
  • Complete and submit monthly STATS SA revenue reports.

Act as one of the primary leads (together with the Accountant) for Audit File preparation and assist auditors with information requests

Desired Experience & Qualification

  • Experience: 3–5 years of practical bookkeeping experience is essential to meet the required standard of independence.
  • Systems: Proficiency in Sage Evolution 200 (Inventory, Fixed Assets, and GL) and Excel (interrogating reports, VLOOKUPs).
  • Qualification: A relevant accounting qualification (Diploma or Degree) is preferred to ensure a solid grasp of double-entry logic.
  • Competencies: Accuracy, prompt follow-up on missing info, and clear communication with external parties (Auditors, Banks, STATS SA).
