The Office of Finance at the Pastoral Center is seeking a qualified Senior Accountant.
The Senior Accountant position supports the Finance Office by providing monthly analysis of diocesan Catholic school financial statements and serving as a financial analyst on parish and school-specific projects as needed. The position serves as a key accounting resource and ParishSoft subject matter expert, providing guidance and support to parish and school locations.
The position has primary accounting responsibility for the McMahon Parater Scholarship Foundation and Propagation of the Faith, including financial reporting, reconciliations, audit coordination, and compliance. In addition, the role supports diocesan financial aid processes for Catholic schools and may assist with campus ministry accounting initiatives.
The position also contributes to finance office administration, training, and communication efforts, including supporting the development and implementation of financial policies, procedures, and educational resources. This position does not require the employee to be Catholic.
Essential Functions
- Primary review resource for Catholic school financial cycle.
- Primary resource and super user of school and parish software package, acting as liaison to locations on accounting for transactions
- Performs first review of preliminary and final school budgets, year-end closings and monthly statements, identifying areas for further review. Works with school and parish bookkeepers to correct financial transactions as needed from reviews, including recommending journal entries and best accounting practices.
- Primary accountant for the McMahon Parater Scholarship Foundation, to include the following duties:
- Recording transactions in the general ledger, including cash receipts, investment activity, bank fees, administrative expenses, pledges receivable, discounted cash flows, and year-end close entries.
- Reconciliation of all bank and investment accounts monthly.
- Tracks and reconciles all stock donations received from donors.
- Reconciliation of donor transactions between the general ledger and donor tracking software on an annual basis.
- Manages cash balances and ensures excess cash is invested in a timely manner.
- Assists in tracking compliance with the Education Improvement Scholarships Tax Credits Program.
- Prepares materials for quarterly board meetings of the Foundation. Attends quarterly board meetings of the Foundation to present materials and answer any questions from the board.
- Prepares all financial statements and supporting schedules for annual audit in compliance with generally accepted accounting principles, including Statement of Financial Position, Statement of Activities, Statement of Cash Flows, Net Asset Reconciliations, and footnotes. Coordinates with external auditor during audit to ensure all requests are provided and to answer questions as needed. Coordinates with external auditor and provides all required documentation for preparation of annual form 990. Ensures timely filing with the IRS.
- Prepares and files annual registration form 102 with the Commonwealth of Virginia.
- Prepares annual budget for the Foundation, including calculating funds available for tuition assistance awards.
- Primary accountant for Propagation of the Faith, which includes recording transactions, reconciling bank accounts, reconciling investment accounts, and preparing financial reports.
- May support campus ministry accounting projects, including initial setup, financial review, and ongoing monitoring as needed.
- Supports the diocesan financial aid process for Catholic schools, including financial data analysis, review of aid applications or outputs, and coordination with schools and diocesan staff.
- Works in conjunction with Director of Finance and Internal Audit team on communications and education of parish and school locations, including but not limited to, providing suggestions, comments, updates to Financial Policies and Procedures, Called to Educate and other Finance Office policies.
- Assists with formal and informal workshops/training sessions for parish and school business managers and bookkeepers on diocesan policies, practices and procedures. This may include training and continuing education for priests, parish or school staff and/or parish or school finance council members.
- Performs other duties as assigned by the CFO, Director of Finance, Assistant Director of Finance, and Internal Audit Manager.
Educational / Experience Requirements
- Bachelor’s degree in Accounting required; CPA preferred; minimum of 3 years of experience.
- Not for profit and fund accounting preferred but not required.
- CPA firm experience preferred.
Specific Knowledge, Skills and Abilities
- Knowledge of accounting, budgeting methods, and financial reporting is required.
- Strong working knowledge of Microsoft Office software; and the ability to maintain confidentiality.
- Required skills include planning and organization, interpersonal, time management, concise writing, data analysis and attention to detail.
- Must be able to multi-task, meet deadlines, and adapt as needed to changing priorities.
Physical Requirements/Environmental Conditions
The physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of the job. May require prolonged driving, standing, walking and/or sitting; physical exertion to manually, move, lift, carry, pull or push objects or materials up to 15 pounds; and occasional stooping, bending and reaching.
Working Conditions
The Senior Accountant is a full-time position (35 hours per week) scheduled for 8:30 am – 4:30 pm Monday – Friday. Occasionally, extra hours may be required. In state travel is required. Must maintain a good driving record. Hybrid remote telework is available after orientation period.
